How to book your bike tour

Overview

We’ve made booking easy!

  1. Select the tour page for the trip you’d like to book.
  2. Click the “Book This Trip” button.
  3. Fill out and submit your reservation request form.

Once your request is received:

  1. We contact our local partner to confirm availability.
  2. The local partner confirms your booking to us.
  3. We email you to inform you of your confirmed reservation and move forward with collecting your deposit.

Reservation Info

Our Online Reservation Form 

To reserve your vacation, you must fill out our secure online reservation form, which can be found on each tour page through the “Book my Tour Now” orange button.

Submission of a reservation form is an official booking request and a legally binding document. Be sure you have the answers to all outstanding questions you have regarding your booking, are committed to the dates requested, and agree to the terms and conditions before submitting your booking request. Changes after confirmation could incur a change fee.

All reservations are subject to availability. If your requested date is not possible, you are under no obligation. If you need further assistance, please do not hesitate to contact us.

To ensure timely and accurate processing of your request, please review the following:

Different cabin or deck options (Bike and Barge) or categories of accommodations (Hotel to Hotel) may be offered- please indicate which level you would prefer. If applicable, indicate whether you are booking guided or self-guided. Different tour lengths may also be offered, so be sure to choose the length of your tour in the comment section of the form.

Dates must be entered in mm/dd/yyyy format. Please double-check that all required fields have been checked or filled in.

For a majority of our bike tours, bicycle rental is not included in the tour price.  However, high-quality rentals are available and pricing can be found under the pricing section. Pricing and what is included can be found on each tour page. If you want to reserve an electric bike, that must be clearly stated on your request. Credit/debit card information is required to secure the reservation, however, we do not immediately charge your card as we provide several options for payment.

If you have any additional requests, use the comment section of the form to include them. Once your reservation has been submitted, you will receive an email confirmation of receipt. If you do not receive this, your form did not submit properly. Please call us for further assistance.

Confirmation Process

We will begin processing your request upon receipt of your reservation request form. Confirmation of your reservation may take up to 7 business days. Any updates or issues that may arise will be communicated to you, and you are welcome to contact us regarding the status of your reservation at any point in time.

Please do NOT make any air travel arrangements until receiving confirmation of your reservation from us.

Deposit

Deposits are due within 10 days after confirmation of the tour. 

If a tour is booked within 6 weeks of the tour date, deposits will be processed in US dollars via credit/debit card info provided with booking, (incurs 4% non-refundable processing fee) and the final invoice will be prepared immediately in the currency of your choosing. 

Final Payment

The final payment is due 90 days before the tour date.

Please note, that separate couples or individuals who wish to be billed separately for group bookings MUST submit their own reservation form.

*Deposits 2022 for tours up to 10 days:

Longer tours:

Euros: €700

USD: $800

CAD: $1,000

All amounts are per person.

*Note- some luxury tours may require a higher deposit amount of up to 25% of tour price. If this is required, you will see it noted on the Pricing tab of the tour page.

General

Bike Protection

Bicycle protection may be purchased at the time of reservation, and covers the cost of repair or replacement of bicycles and/or parts in the event of an accident or mechanical failure. Theft is also covered, but ONLY if the bicycle was locked. Negligent behavior is NOT covered under bicycle protection.

Costs in Euros are detailed below, varying based on tour length. For tours offered in a different currency, the equivalent amount will be applied.

Hybrid Bike Protection

8 days or less: €10

9 to 12 days: €15

13 days or more: €20

Electric Bike Protection:

8 days or less: €20

9 to 12 days: €30

13 days and more: €40

Trip Pricing

All prices are per person based on double room occupancy. Single bookings usually will incur a supplemental fee. Please note- airfare is NOT included with any of our tours.

Most of our prices are posted in Euros. There are a few offered in a different currency. We are proud to work with local operators to offer you these wonderful tours. You can read more about our partnerships here.

Prices published on our website remain fixed, but the exchange rate fluctuates. In the pricing section of each tour, we provide a calculator that may be used to determine the price in US or Canadian dollars, based on the current exchange rate. If you need an estimate in another currency, we can provide this information. Please note, however, that payments can only be accepted in US dollars, Canadian dollars, or Euros.

Passport Information

Please check your country’s passport and visa requirements as well as the passport and visa requirements of the country/countries you plan to visit before traveling.

US citizens may use the U.S. Passports and International Travel website as a good source of information. Details about passport validity, blank passport pages required, etc, can be found on the Country Information Tab in the International Travel section.

Trip Insurance

Travel Insurance is available and not part of the trip package. You will be provided with information about how you can protect your investment through our trusted partner, RoamRight. More information regarding these services can be found on our travel insurance page.

We must emphasize, however, that we are not an insurance agency. Please contact the insurance company directly if you have any questions or concerns about coverage.

Cancellation Policy and Late Bookings and Changes

Cancellation fees vary among tour operators. Exact details can be found on the individual tour page on the Dates & Prices tab via the linked text “Tour Company Terms” (It’s in the bottom right-hand corner). Tour operator cancellation fees usually increase as the tour date approaches. These policies take effect when we are informed of your official tour confirmation. We do our best to inform you immediately upon notice of confirmation, but there could be a delay due to differing time zones. Never submit a reservation unless you have read and agreed to the terms and conditions.

Cancellation By Operator

In rare instances, such as flooding, low tide, or other extreme force majeure, operators reserve the right to cancel the journey on short notice. No legal right shall be constituted of both situations. The same applies for officially ordered – previously not announced – repair work on locks or bridges or in the event of undeserved breakdown of engine or power unit. A full refund for the cost of your tour will be issued, HOWEVER, any credit/debit card processing fees that you incurred, as well as the €25 ($30) booking fee, will not be refunded. It is important to note that airfare is solely your responsibility and liability, so obtaining a good travel insurance policy is highly recommended.

Refunds

Refunds due to cancellations and/or changes in a booking will be applied via the method of payment. Fees such as bank/credit/debit card may apply depending on the conditions of the booking and nature of the refunds. Administration fees are non-refundable.

Cancellations/changes in reservations on the part of the client, in which any refund is due, are subject to bank/credit/debit card fees.

Information Packet

All travel documents and trip information you need will be emailed to you approximately 3 weeks before the start of your trip. Please note that we are no longer mailing travel packets. We do our best to fulfill requests for early travel information, however, this is not always possible. If travel information is needed early, please let us know and your request will be processed in the order it was received.

Docking locations and arrival hotel information can also be provided in advance. Travel information for last-minutes bookings will not be sent until at least 48 hours after receiving the final payment. More detailed information (such as route descriptions) for many trips will be provided upon arrival at your first hotel.
